[Accordion] Overview
Each clinic has its own way of naming certain items. With Custom Labels, you can rename fields in the system to match the terminology your team already uses.
Whether you call them Patients, Clients, or Members, you can update the software to match your specific preference. Using familiar terminology makes the system easier to learn, reduces mistakes, and ensures your documentation stays consistent.
[Permissions] The staff member must have Administrative Privileges to access the Custom Labels form [Staff > Staff Info > System Permissions > User Has Administrative Privileges]
[Accordion] Getting Started
Use the Custom Labels form to update your system's terminology. You can use the Search option to jump straight to the specific field/form you want to change.
- Label: This column shows a description of the field. It serves as a reference point so you know exactly which field or form element you are currently updating.
- Default Value: Displays the standard default label name for your reference. This field cannot be changed, ensuring you always know the original label before you apply your own.
- Custom Value: Type your chosen Custom Label here to override the system standard default label. This change will update the label across the entire application.
- Buttons:
- [[img:save >> lbl:Save]] Apply and store all the custom label changes made.
- [[img:close >> lbl:Cancel >> bg:white]] Discard any unsaved changes and revert to the previously saved values.
[Accordion] Forms
You'll be able to find the forms that are currently in the system, and optionally rename them. Once updated, the new name appears everywhere that form is listed, ensuring your team sees familiar terminology instead of potentially-unfamiliar labels.
Example: The Demographics form can be renamed to “Patient Profile” to make it more intuitive for clinicians, while the Admission Note can be changed to “Intake Note” to better reflect the workflow.

[Accordion] Fields
You'll also be able to customize the names of your fields to match your clinic's terminology. Your changes will automatically update that field across all forms where it is used, allowing for total system consistency.
Example: A field label like Hospital Number in Demographics can be renamed to “Patient ID” for better clarity, while Clinician might be updated to “Primary Therapist” to reflect internal roles.

Customize Treatment Plan labels to match your specific clinical terminology, ensuring all pre-stored templates and care elements align perfectly with your organization's documentation standards.
Example: A generic label like Goal can be renamed to “Treatment Goal”, while Objective can be updated to “Target Outcome” for better clarity.

[Accordion ] Progress Notes
Rename Progress Note templates to match your team’s preferred documentation styles, making it faster and easier for clinicians to select the correct note type every time. You'll also be able to customize the abbreviation of the Progress Notes that show in Patient Contacts.
Example: Standard can be renamed to “General Note”, while Free Form can become “Custom Note” to better indicate flexibility. You can then update their abbreviations to be "GEN" and "CUSTOM".

[Q] If I change a label in one place, does it change everywhere?
[A] Yes. Custom Labels are system-wide. For example, if you rename "Patient" to "Client" in the Fields category, that change will be reflected across every form and where that specific field appears.
[Q] Will changing a Progress Note label affect its functionality?
[A] No, renaming a Progress Note label only changes how it is displayed in the system. The structure and functionality of the note format remain unchanged.
[Q] Can I revert the label back to its original name?
[A] Absolutely. To revert a change, simply delete the text in the Custom Value field and save. The system will automatically go back to displaying the Default Value.
[Q] Why can't I edit the "Default Value" column?
[A] The Default Value is a permanent reference point. It stays locked so you always know the original system name, making it easier to troubleshoot or revert changes later.
[Q] Will changing a label affect my reports or data exports?
[A] Changing a label only changes the display name (the "alias"). The underlying data remains the same, so your reporting logic and historical records will not be impacted.
