[Accordion] Overview
When adding a new user to our ePrescribing system, you will need to assign a role. Each role determines what actions the user can perform. Here are the available roles and their associated permissions.
[Accordion] ePrescribing User Roles
[Q] Clinical Staff
[A] This user role is for staff members who are allowed to create prescriptions for a Prescriber to send. This role is recommended for nurses, clinical managers, and similar roles. Clinical staff will also have access to the patient profiles and can set the default pharmacy for patients.
Clinical Staff can also view the Periodic Report, a PDF-based report that lists prescriptions completed within a selected time period for selected prescribers at the current location. Users can filter by provider and date range, up to a 90-day window. It is a printable, compliance-oriented output useful for auditing or reviewing prescription history in a structured document format.
[Q] Non-Clinical Staff
[A] This user role is for staff members who need access to view patient records, assign a default pharmacy for patients, and view the Periodic Report that Clinical Staff have access to.
[Q] Front Desk Staff
[A] This user role is for staff members who need access to view patient records and assign a default pharmacy for patients. Front Desk users can view the Prescription Summary, an interactive screen where users can search, filter, and view prescription activity across statuses (Pending, Completed, Undeliverable, Cancelled).
[Q] Prescriber
[A] This user role is for a staff member who can prescribe using their own license. May be a physician, nurse practitioner, physician assistant, chiropractor, etc.
[Accordion] Additional Role Permissions
[Q] Administrator
[A] Any ePrescribing user can be given the Administrator role in the ePrescribing Portal. Admin access includes the Practice and Location Settings, where they can set the preferences for the specific location(s) or the practice as a whole.
Note: Prescribers may be Admins to adjust Practice and Location settings, but will not have permissions to activate themselves or other prescribers for controlled substance prescribing.
[Q] Provider Agent
[A] Must be registered as a Clinical user. Can send non-controlled prescriptions to the pharmacy on behalf of a prescriber. Any prescriber or Admin user can designate a Clinical staff user as a Provider Agent. This is done in the Utilities menu of the ePrescribing Portal.
Note: Provider Agents are not allowed in New York State
