[Accordion] Overview
The web-based ClinicTracker Portal provides secure, real-time access to schedules, documents, messages, and other key information stored in your ClinicTracker system, from any device.
It streamlines communication, enhances workflow efficiency, and supports both clinical and administrative tasks with easy, anywhere-access tools.
[Accordion] Getting Started
You can log into ClinicTracker by following these steps:
- Open a web browser to: portal.ClinicTracker.com
-
Enter your Clinic ID and click Submit.
-
Click on the Staff Login tab.
- Enter the username listed in the username field on the Basic Info tab of your Staff Info record (e.g., DoeJ) and your assigned password.
- Check the reCAPTCHA (I'm not a robot) box. Depending on your browser and system, it may accept you right away, or you may be asked to solve a simple puzzle (such as identifying all bicycles in an image).
- Click/tap Log In to My Account
[Tip] Your Supervisor/System Administrator should be able to help you with your Clinic ID/Username.
[Accordion] Best Practices
Staff vs Patient Login: If you receive an incorrect username/password error, you may be attempting to sign in through the Patient Portal by mistake. Make sure you click the Staff Login tab to access the correct login screen.
Direct Access URL for ClinicTracker Portal: https://portal.clinictracker.com/index.aspx?clinicID=xxx&LoginType=Staff. Substitute your ClinicID in place of xxx. Using this address bypasses the step where the system prompts you to enter your Clinic ID and choose the Staff Login tab. Bookmark this tab in your browser for easy access in the future.
It’s always a good idea to ensure your web browser is fully up to date. Missing updates may cause pages to load incorrectly or behave unreliably.
- A slow or unstable internet connection may cause error pop-ups or prevent parts of the web page from loading as expected.
- Clear your browser’s cache and cookies at least once a week. Corrupted or outdated cookies can cause any website to function improperly.
- Installing system updates when prompted can help prevent performance issues and ensure smooth website functionality (understanding that some updates may not be possible due to organizational IT policies).
[Accordion] Common Pitfalls
- Wrong Login Section: Attempting to log in through the Patient Login section instead of the Staff Login section can cause login errors. Make sure you are on the correct section, which you will see highlighted in blue.
- Invalid reCAPTCHA: Make sure you have checked the option "I'm not a robot" on the login screen. Failing to do so will result in an invalid reCAPTCHA error.
[Accordion] FAQs
[Q] Why am I not able to log in to ClinicTracker?
[A] Common causes include not having Staff Portal permissions enabled, entering an incorrect username or password, or attempting to sign in through the Patient Login tab instead of the Staff Login tab.
[Q] How do I find the correct Staff Portal URL?
[A] Use the Direct Access URL (https://portal.clinictracker.com/index.aspx?clinicID=xxx&LoginType=Staff). Substitute your ClinicID in place of xxx. Using this address bypasses the step where the system prompts you to enter your ClinicID. Your system administrator should be able to help you with your Clinic ID/Username.
