[Accordion] Overview
Billing Note Automation is a feature that allows for the creation of Billing Notes within the system and assigns related responsibilities.
Using customizable automation rules, organizations can define what event triggers a Billing Note, what information it should include, and who is responsible for follow-up. Each automatically generated Billing Note can capture relevant context, ensuring that important billing actions are clearly documented without manual entry. For example, you can set up rules for applying adjustments, identifying claims where the payments received are lower than the allowed amount.
[Permissions] The staff member must have Full access to the BillingTracker module [Staff > Staff Info > System Permissions > BillingTracker]
[Accordion] Getting Started
Use this feature to automate the creation of Billing Notes based on predefined triggering events.
Filters: Apply the necessary filters to display data. You can choose from Last Updated, Note Type, Description, Usage Count, and Last Update By
Actions Bar: Use [[img:edit]]Edit and [[img:delete]] Delete buttons to modify and delete an existing Billing Note Automation
Click/tap on [[lbl:Add New Billing Note Automation]] to add a new Billing Note Automation.

Trigger Rule:
Rule Description (required): Enter a description to easily identify the Billing Note Automation rule
Is Active: Select "Yes" to enable the rule and activate the Billing Note Automation, or "No" to disable the rule and prevent it from running
Trigger When: Define the event that will activate the Billing Note Automation. You have several options that include: Claim Sub-Status Changed to, Adjustment Created, Non-Balance Affecting Adjustment Created, and Insurance Payment Received That is Less Than Allowed Amount

Billing Note Configuration:
Note Type (required): Select the Billing Note Type that best matches the purpose and context of the rule. Billing Note Types can be set up at: Utilities > Billing Note Type Setup
Description (required): Enter a clear and detailed description explaining the purpose and content of the Billing Note that will be automatically created
Locked: Check this box to automatically lock the Billing Note created by the Billing Note Automation
Follow-Up Required: Check this box to enabled entry into the Follow-Up section, which allows you to add follow up details to the Billing Note created by the Billing Note Automation

Follow-Up:
Follow-Up in this many days: Set the number of days for the follow-up task
Responsible Staff: Assign a staff member or select a previously configured Workflow Staff Group found at Utilities > Workflow Staff Group Setup
Note: Enter any additional comments or instructions that provide context, guidance, or special handling related to the Billing Note Automation
[Info] You can select either the Locked option or the Follow-up option, but not both at the same time.

[Q] What does the 'Locked' check box do?
[A] Checking 'Locked' will automatically lock the created Billing Note, preventing further changes.
[Q] How do I add or update the “Note Type” dropdown in the Billing Note Automation feature?
[A] Go to Utilities > Billing Type Note Setup. Any Billing Note Type you create or update there will automatically appear in the Note Type dropdown in the Billing Note Automation screen.
[Q] What triggers an automated billing note?
