[Accordion] Overview
The Batched Paperwork Viewing form is designed to make document management faster and more efficient by allowing you to print multiple records in a single step, eliminating the need to open and print each form individually. This powerful feature is especially valuable when working with large volumes of paperwork, helping reduce time spent on administrative processes.
Whether you need to print all progress notes completed today, gather every document for a specific patient, or produce multiple forms across different clinicians, the Batched Paperwork Viewing utility makes it easy to generate bulk prints with just a few clicks.
[Permissions] The staff member must have permission to print Paperwork enabled in their Staff Info record.
Two options in the System Permissions prevent staff from Printing from ClinicTracker:
- Prevent Printing Client Contacts
- Prevent Printing of All Records

The Batched Paperwork Viewing form streamlines document management by enabling you to quickly print multiple records at once, saving time and simplifying high-volume paperwork tasks.
- Favorites: Access your commonly used search criteria when bulk printing multiple documents.
- Step 1: Filter By
- Module (required): Select the appropriate service area, Mental Health or Chemical Dependency
- Clinicians (required): Select one or more or all clinicians whose records you want to print
- Patients (required): Select one or more patients whose records you want to print. You can filter patients by Name, Patient Group, Insurer, and other criteria
- Form Name (required): Select the specific form(s) you want to bulk print. Check Active to show only Active forms in the list
- Step 2: Date Range: Only documents created or modified within the selected date range will be included
[Tip] Select shorter date ranges for faster printing, as very long ranges can slow down the process.
- Step 3: Output Options
- Header Template: Insert a custom header/logo on the printed Paperwork items. You can import your Template Headers by going to: Utilities > Import Template Headers
- Output Format: Choose the file type for your output—Word or PDF.
- Output Method: Determines how the selected Paperwork will be delivered. You can choose View Paperwork (view items separately), Merged PDF (generate a single merged PDF containing all documents) or Download as Zip (download the files individually within a ZIP folder)

[Q] How should I select date ranges for printing?
[A] When possible, shorter date ranges are recommended for faster processing. Very long ranges may slow down the process.
[Q] Can I print only the forms currently active?
[A] Yes, check the Active box when selecting a Form Name to include only active forms in the list.
[Q] Can I bulk print forms across multiple clinicians?
[A] Yes, the Batched Paperwork Viewing form works for documents from multiple clinicians, as long as you have the proper permissions.

[A] Reduce the number of patients, forms, or the date range selected, and try printing in smaller batches for faster performance.
