The Schedule Event Listing shows a list of scheduled events for all resources or a selected group. Unlike the Calendar View, which displays events as time blocks, this view presents everything in a clear, organized table.
It helps you quickly search, review, and manage appointments—whether you need to find, update, or delete an event.
Example:
If a patient calls to check a provider’s availability, you can switch to the Event Listing to quickly see that provider’s schedule for the day.

Use the Schedule Event Listing to view and manage scheduled events in a structured list.
Accessing List View and Schedule Resources
- List View: Click/Tap the [[lbl: List View >> lbl: | >> img:arrow_drop_down]] button in the toolbar of the Schedule to expose the following options:
- Selected Resources: Displays scheduled events only for the resource(s) currently selected in the resource panel (e.g., specific staff members, patients, or rooms/locations)
- All Resources: Displays scheduled events for all available resources listed in the resource panel
- Schedule Resource Panel (Staff, Patients, and Rooms): This panel shows all resources you have permission to view or edit. You can select or filter resources here to control which events appear in the Event Listing.
Event Listing: The Event Listing displays all scheduled events in a table format and allows you to perform actions directly without returning to the Calendar View.
Actions: [[img:more_vert >> bg:white]] Click/Tap for more options to access the following:
- Event Details: Opens the event details form, where you can view or edit all information for the selected event.
- Delete: Permanently removes the selected scheduled event. Once deleted, the event is no longer visible in either of the views (Calendar or Event List View).
- Check All Patient In: Marks all associated patients for the selected event as checked in.
- Check All Patient Out: Marks all associated patients for the selected event as checked out.
- Collect Payment: Opens the Collect Payment form for the selected scheduled event. You can collect a pre-calculated copay amount or any payment amount the patient would like to pay.
- Create Linked Appointment: Opens a new Appointment record and automatically populates it with details from the scheduled event (such as Patient, Staff, Program, Service, and Event Time).
- View Linked Appointment: Opens the Appointment record associated with the selected event.
Cancel and Create Linked Appointment: Deletes the scheduled event and automatically creates a new Appointment record associated with that canceled event.
- Associate With Appointment: Links an existing Appointment record to the selected scheduled event. You’ll be prompted to choose from available Appointment records that match the same patient, date, and staff member.
- Remove Appointment Association: Unlinks the Appointment record from the selected event without modifying either record.
- Create Linked Collateral: Opens the Collateral record with key details (such as Staff and Date) prefilled, allowing you to create and link a new Collateral record to the selected event.
- View Linked Collateral: Opens the linked Collateral record for review.
- Cancel and Create Linked Collateral: Deletes the scheduled event and automatically creates a new Collateral record associated with that canceled event.
- Associate With Collateral: Links an existing Collateral record to the selected scheduled event. You’ll be prompted to select from available Collateral records for the same patient, date, and staff member.
- Remove Collateral Association: Unlinks the Collateral record from the selected event without modifying either record.
- Generate Reminders (All): Generates reminder notifications for all patients associated with the selected scheduled event, regardless of confirmation status.
- Generate Reminders (Unconfirmed Only): Generates reminder notifications for only those patients associated with the selected scheduled event that currently have an unconfirmed status.
- Cancel Pending Reminders: Removes all upcoming reminder notifications for the selected event.
- View Reminder Log: Displays a history of all reminder notifications sent for the selected event.
- Mark Reminder Status As: Allows you to manually set or update a patient’s reminder status for the selected event.
- Event Type: Updates the Event Type of the selected event (e.g., Therapy, Telehealth, etc.). Updating the event type may also change the event’s color or visual indicator in the Schedule View.
- Show Time As: Sets how the event’s time block appears on the schedule and whether it will display when using the Find Available Timeslot feature. Options include:
- Busy: Indicates the time as occupied and unavailable for other scheduled events
- Free: Indicates the time as available and open for new scheduled events
- Out of Office: Indicates that the resource is unavailable due to being away from the office/work
- Tentative: Indicates the scheduled event as pending/not yet confirmed

[Q] Can I view an event list for the entire week?
[A] Before selecting the List View dropdown, choose the Work Week or Week view button at the top of the Schedule.
[Q] Can I block off time for personal or administrative tasks?
[A] Yes, you can create private events that appear on the schedule but do not conflict with patient appointments.
[Q] How can I search for open timeslots?
[A] Use the Find Available Timeslot feature to filter by staff, date, service, and duration.
[Q] What permissions are needed to manage schedules?
[A] You must have Schedule View/Edit permissions for the staff whose calendar you want to manage.
[Q] Why can’t I see certain staff members in my list of events for today?
[A] Only staff members who have granted you permission to view or edit their schedules will appear in the list. If someone is missing, check your permission settings. [Staff > Staff Info > Additional Options > Scheduling Settings > Scheduling Options > Show My Granted Permissions]
[Q] Can I print or export the event list?
[A] Yes. In most areas of the application, lists can be printed or exported. Click/Tap the [[img:download >> lbl: | >> img: more_vert]] in the top-right corner of the Event List to display the current event list in a printable format [[lbl:More >> lbl: >> lbl: | >> img: more_vert]]
[Q] What happens to my linked appointment when I delete an event?
[A] Your linked appointment will remain unaffected.
