[Accordion] Overview
The Credit Card Convenience Fee feature allows you to configure and manage processing fees applied to credit card transactions.
It supports all major card types: American Express, Discover, MasterCard, and Visa, and provides flexibility to apply either percentage-based, fixed fees, or both, depending on your organization’s billing policy.
[Permissions] The staff member must have Full access to the Maintenance module. [Staff > Staff Info > System Permissions > Maintenance]

- Select a credit card: Search and select from the supported credit card types
- Add a percentage %: Enter the percentage of the transaction amount to be charged as a convenience fee for credit card payments
Add a fixed fee $: Enter a specific, flat amount to be charged as a convenience fee for each credit card transaction
[Note] When issuing a refund to a patient, the credit card convenience fee is also refunded

[Q] I am not an Admin user. Can I still access the Credit Card Convenience Fee module?
[A] Yes, the Credit Card Convenience Fee module can be accessed by staff members with full access to the Maintenance module. [Staff > Staff Info > System Permissions > Maintenance].
[Q] What types of fees can be configured?
[A] You can configure either a percentage-based fee (a percentage of the total transaction amount) or a fixed fee (a flat amount added per transaction).
[Q] Can I apply different fees for different card types?
[A] Yes. You can set different fee structures for specific card types if required by your organization’s policy.
[Q] When is the convenience fee applied?
[A] The convenience fee is automatically calculated and added when a patient chooses to pay with a credit card, either online through the Patient Portal or during an in-office transaction.
[Q] Is the convenience fee shown on the payment receipt?
[A] Yes. The convenience fee appears as a separate line item on the payment receipt to ensure full transparency for the patient.
[Q] Does the convenience fee affect reporting or reconciliation?
[A] Yes. The applied convenience fees appear in your financial reports, allowing for accurate reconciliation of payment and fee data.
[Q] If the credit card payment is refunded to the patient, does it include the credit card convenience fee as well?
[A] Yes. When the full credit card payment is refunded to the patient, the convenience fee is also refunded.
