[Accordion] Overview
The Patient Portal Message feature allows you to communicate with patients securely through the Patient Portal. It supports composing/sending messages, sharing attachments, and ensuring that the correct Portal Users associated with a patient receive the communication securely.
[Tip] If you see different labels than what is shown in this article (e.g., Patient vs Client), your system may have Custom Labels applied. You can verify and update these by locating "Custom Labels" in the Global Search.

Use the Patient Portal Messaging module to communicate securely with patients and deliver messages or documents directly through the Patient Portal.
Composing a Patient Portal Message
To compose a secure message to a patient through the patient portal, follow these steps:
- Navigate to the Patient Portal Messages folder
- Click/Tap on [[lbl:Compose]]
- You can also click/tap on the adjoining [[img:more_vert]] (three-dot menu) next to [[lbl:Compose]]
- From the available options, select [[img:clinical_notes >> lbl:Patient Portal Message >> bg:white]] to open the Compose Secure Message to Patient dialog, where you can add recipients, attachments, and message content.
Writing a Secure Message to Patient(s)
Click/Tap on [[img:add >> lbl:Add Recipient(s) >> lbl:| >> img:more_vert]] for the following actions:
- Adding a Patient Portal User:
Click/Tap [[img:add >> lbl:Add Recipient(s) >> lbl:| >> img:more_vert]] to search for and select the patient/Portal User you want to send the message to. Once selected, the user will be added to the recipients list along with their linked patient information.
- Using the Three-Dot Menu:
Click/Tap to see additional options and manage users who are responsible for accessing Patient Portal Accounts:
- [[img:add >> lbl:Add User >> bg:white]] Click/Tap to add a specific Portal User (patient/auth rep)
- [[img:settings >> lbl: Portal Users - Active Patients >> bg:white]] Click/Tap to add all Active Portal Users associated with patients who are currently active in the system
- [[img:settings >> lbl:All Portal Users - Discharged Patients >> bg:white]] Click/Tap to add all Active Portal Users associated with patients who have been discharged
- [[img:settings >> lbl:All Portal Users >> bg:white]] Click/Tap to add all Portal Users regardless of patient status
- [[img:cancel >> lbl:Clear All Recipients Lists >> bg:white]] Click/Tap to remove all recipients currently added to the list
- Staff Bcc: The Staff Bcc field allows you to include internal staff members when sending a message to patients. You can select one or more staff members from predefined staff groups (Distribution Lists). Staff added here will receive a copy of the message, while their names and details remain hidden from the recipient(s)
- Subject: The Subject field is used to enter a short and clear title for the message
- Attachments: The Attachments section allows you to share files with the patient. Click/Tap on [[img:Add >> lbl:Add New Attachment]] to upload documents such as Treatment Plans, Reports, or Forms. Uploaded files appear in the attachments list, where they can be reviewed or removed before sending the message
- Message: The Message field is where you type the main content of the Secure Message
After completing all required fields, click/tap [[lbl:Send]] to send the message, or [[img:Save >> lbl:Save as Draft]] to save the message and send it later.
[Permissions] The Staff member must have 'Send Bulk Portal Message' enabled to see all the options listed above. [Staff > Staff Info > System Permissions > Send Bulk Portal Message]

[Q] Is there any character limit for the message input text area?
[A] No, there is no character limit. You can enter as much text as needed.
[Q] Can I add multiple Portal Users at once?
[A] Yes. You can use the options in the three-dot menu to add multiple Portal Users in bulk.
[Q] Will staff added in Staff Bcc be visible to the patient?
[A] No. Staff added to Staff Bcc are not visible to the patient.
[Q] Can I remove attachments before sending the message?
[A] Yes. Attachments can be removed from the attachments list before the message is sent.
