[Accordion] Overview
The Workflow Batch Assignment feature allows you to manually apply active Workflow Rules to one or more patients at a time.
This not only saves time, but also helps maintain consistency across your Workflows, reduce errors, and improve overall efficiency in managing patient tasks or follow-ups.
[Tip] Workflow Assignments are not applied retroactively, meaning Workflow Tasks will not be triggered for existing or past records. When a Workflow Rule is manually assigned, the due dates for its associated Workflow Tasks are calculated from the assignment date onward.

Use this feature to manually apply Workflow Rules to one patient, all patients, or a subset of patients at once.
Assigning Workflows manually
Patients [[img:person_search]] (required): Click/Tap to open the Patient Lookup dialog. Select one or more patients to assign Workflows to.
[Tip] To assign Workflow Rules to a specific group of patients, use the Advanced Search feature in Patient Lookup to narrow down your selection.
- [[img:more_vert]] Three-dot: Options to manage the selected patient list:
- Add to list: Add new patient(s) to your existing list
- Replace list: Clears the current list of selected patients and replaces it with the newly selected patients
- Clear list: Removes all selected patients from the list
- Rules (required): Select one or more Workflow Rules from the list of active Workflows
- Include Duplicate Rules: This option determines whether the Workflow can be assigned to patients who already have the same Workflow applied. This helps you decide if a Workflow should be applied once per patient or multiple times.
- Checked: The Workflow will be applied to all matching patients
- Unchecked: The Workflow will only be assigned to patients who do not already have it assigned

[Q] Can I assign multiple Workflows in a single batch?
[A] Yes, you can select and assign multiple Workflows to the same group of patients in one batch operation.
[Q] How are due dates calculated for batch-assigned Workflows?
[A] Due dates are automatically determined based on the Workflow’s predefined timeline/configuration.
[Q] Can I undo or remove a batch assignment?
[A] No. Once assigned, Workflows cannot be undone as a batch, but you can remove or cancel individual Workflow Assignments manually by going to: Global Search > Patient Task Dashboard.
[Q] When should I use the Workflow Batch Assignment feature?
[A] Use it when you need to assign standardized Workflows—like periodic assessments, care plans, or checklists—to multiple patients simultaneously.
[Q] What does 'Include Duplicate Rules' mean?
[A] If this option is checked, the system will assign the selected Workflow Rules to patients, even if they already have the same Workflow Rules assigned. This is useful when you need to reassign or re-trigger existing Workflows.
[Q] What is a sample scenario where the Include Duplicate Rules option would be useful?
[A] If you need to complete a Paperwork item for a patient more than once. In this case, you can use the Workflow Batch Assignment feature and check the Include Duplicate Rules option to allow assignment. However, keep this option unchecked if the Paperwork item should only be completed once per patient.
For example:
For an Admission Summary Workflow, keep this option unchecked since it typically needs to be completed only once
For a Treatment Plan Workflow that must be completed every 90 days, keep this option checked so the Workflow can be reassigned periodically
