[Accordion] Overview
The Patient Registration module allows staff to efficiently manage incoming patient registrations from the Patient Portal. It provides access to patient profiles, submission logs, and completed forms, enabling staff to review, approve, or reject registration requests quickly and accurately.
This centralized workflow helps ensure that all patient information is properly captured and verified before being added to the system.

The Patient Registrations module helps efficiently manage and process incoming Patient Registrations, including access to patient details, registration logs, and submitted forms. This ensures accurate review, approval, and verification of patient information before it is added to the system.
Review Patient Registrations
- Quick Filter Tags: Lets you filter specific registration requests based on statuses (Pending/Submitted/Approved/Rejected).
- Advanced Filter: You can search registration requests by Name, Gender, Address, and Submitted Time.
- [[img:visibility]] View the Patient Registration Details to review the current state of a specific registration. You can either approve or reject the Patient Registration after reviewing it.
Patient Registration Details
- Patient Profile: Displays a summary of the patient's details provided by the user in the Registration module.
Forms Completed By Patient: Shows all forms that were included in the registration process and completed by the patient. Forms marked 'Required: Yes' must be completed by the patient before submission, while those marked 'Required: No' are optional. Click/tap the [[img:edit]] button to view the submitted information.
[Tip] You can manage which custom forms show up at the time of registration through the Form Builder.

[Q] How do I view the status of a Patient Registration?
[A] Go to: Patient > Patient Registrations. Select the appropriate Quick Filter Tag (Pending, Submitted, Approved, Rejected).
[Q] How does the clinic/staff know when a new Patient Registration is submitted?
[A] A new Patient Registration notification is sent to all members of the General Mailbox Recipient group. If you are a part of this group, you should be able to view them by going to your Messaging module.
[Tip] To add a user to the General Mailbox Recipient group, go to: Staff Info > Basic Info Tab > Patient Portal Messaging > General Mailbox Recipient.
[Q] What happens to the patient record after I approve a registration?
[A] Once you approve a patient’s registration, a new Demographic record is automatically created for them in the system.
[Q] What happens when I reject a Patient Registration?
[A] When you reject a Patient Registration, the patient is not added to the system. You can view all rejected registrations by navigating to: Patient > Patient Registrations and using the Rejected quick filter tag.
[Q] What are Message Logs for on the Patient Registration Details module?
[A] Message Logs track the progress of a registration, from the time a patient submits it until it is approved or rejected. They provide a record of all status updates and actions taken during the registration process.
[Q] What's the difference between a Submitted and an Approved Patient Registration?
[A] The Difference between a Submitted and an Approved Patient Registration is as follows:
- Submitted: Indicates that the patient has completed and submitted their registration module along with any required documents/forms.
Approved: Indicates that clinic staff have reviewed the submitted registration and approved it, adding the patient’s record to the system.
[Q] Can I reject an already approved Patient Registration?
[A] No. Once a Patient Registration is approved, a Demographic record is created for the patient. You can no longer reject the registration from the Patient Registration module. To remove the patient, go to the Demographics form and discharge or delete their record.
[Q] Can I approve a Pending Patient Registration?
[A] Yes. A Pending status means that one or more mandatory forms required for registration have not been completed, or the patient has not yet submitted their registration. You can review these forms and take one of the following actions:
Submit & Approve: Completes the registration and approves the patient.
Submit & Reject: Completes the registration but rejects the application.
