[Accordion] Overview
The Scheduling Groups form lets you review a patient’s existing Scheduling Group memberships and enroll them in multiple groups at once. This simplifies group management and helps maintain accurate scheduling records.
[Permissions] The staff member must have Full access to the Patient Info module [Staff > Staff Info > System Permissions > Patient Info]
[Tip] If you see different labels than what is shown in this article (e.g., Patient vs Client), your system may have Custom Labels applied. You can verify and update these by locating "Custom Labels" in the Global Search.
[Accordion] Getting Started
This form streamlines group scheduling by allowing you to view, manage, and enroll patients in multiple groups without adding them individually.
Enrolled Scheduling Groups
Lists all Scheduling Groups the selected patient currently belongs to.
- [[img: playlist_add >> lbl:Enroll in Groups]] Click/Tap to enroll the selected patient in any additional groups required
- [[img:delete >> lbl:Remove Group]] Click/Tap to remove the patient from the selected group
- [[img:attach_money >> bg:rgb(95 177 82)]] Specifies whether the patient will be billed when a group appointment is scheduled for this group. Toggle this option to mark the patient as non-billable for the group appointment(s).
- Status: Indicates if the patient is currently enrolled in the group or placed on its waitlist
- Billable: Indicates if the patient is billable for that Scheduling Group
[Note] Each Scheduling Group has a Max Group Size limit that defines the maximum number of patients allowed in that group. Any additional patients added beyond the Max Size will be placed on the waitlist and remain pending until a slot becomes available.

[Q] I am not an Admin user. Can I still access the Scheduling Group feature?
[A] Yes, Scheduling Groups can be accessed by all staff members with Full access to the Patient Info module [Staff > Staff Info > System Permissions > Patient Info]
[Q] Can a patient be enrolled in more than one Scheduling Group?
[A] Yes. Patients can be associated with multiple Scheduling Groups simultaneously, depending on their care needs.
[Q] What happens if I delete a patient from a group record?
[A] Deleting a patient will remove the patient’s association with that group, but it does not delete the group itself from the system.
[Q] What happens if a Scheduling Group is full?
[A] When a Scheduling Group reaches its Max Group Size limit, any additional patients added will be placed on the waitlist and remain there until a slot becomes available.
[Q] How can I manage billing for group appointments?
[A] Each client in a group has a billable status setting. You can toggle this to mark a patient as billable or non-billable for group sessions.
